When is the best time to approach a festival?

For NGOs: Check if the festival has a call for proposals active, if they have announced a call, or when their past calls were. The date the call opens varies strongly from festival to festival, but as a rule of thumb, the best time to approach festivals is usually about six to nine months prior to the event. Planning a festival is a process that takes up most of the year. Please be aware that crises like the COVID-19 pandemic might cause delays. This doesn't mean the festivals don't appreciate you – they just have their hands full organizing their event under difficult circumstances.

For festivals: Make sure your call for proposals leaves NGOs enough time to develop ideas to a point where they are presentable. Also, make sure you have enough time left to prepare the actual implementation at the festival.
