For festivals: Give NGOs clear time slots for everything, e.g., when do they have to hand in necessary documents, when are they allowed to (dis-)assemble their booths, when must they be at their stalls, when do they have free time to explore the rest of the festival?, etc.

For NGOs: Make sure you are on time during assembly. You are not the only one who has to build a stall at the festival, so please be punctual. This also means taking into account that you might have to walk a long way before you get to your allocated place on the festival site. Also, know when your first shift starts and your last ends.
